In short
We collect only what we need to hold your table, prepare your order or event, answer your message and send the emails you asked for. We never sell it. You can ask to see, correct or delete your information at any time.
1. Who we are
Sidebar Grill, Kitchen and Bar runs this website and our restaurant in Langley, British Columbia, with a second location opening in Chilliwack. In this policy, “we”, “us” and “our” mean Sidebar Grill.
This policy explains how we collect, use, share and protect personal information through our website, our emails and the reservation, ordering and gift card services linked from it. We follow British Columbia’s Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
2. What we collect
We collect personal information only when you give it to us or use one of our services:
- Email sign-up: your email address and the list you joined, for example news of our Chilliwack opening.
- Reservations through OpenTable: your name, phone number, email address, party size, date and time, and any notes you add, such as an allergy or a special occasion. OpenTable passes these to us so we can hold your table.
- Online orders and eGift cards through our ordering partner: your name, contact details and what you order. Payment is made on the partner’s site; our website never receives your card number.
- Messages and calls, including private event enquiries: your name, contact details and what you tell us, such as the date, the number of guests and dietary needs.
- Job applications sent to our hiring email: your résumé and anything else you choose to send.
- Website visits: our web host records technical details, such as your IP address, browser and the pages you open, in server logs used to keep the site secure.
3. Cookies and similar tools
Our website uses very few of them:
- A cookie named sg_location remembers which of our locations you chose, so the site opens there on your next visit. It lasts one year.
- Your browser’s storage remembers that you closed a notice, such as our Happy Hour pop-up, so it does not appear again right away.
- The map in our footer shows images from OpenStreetMap. To load them, your browser connects to OpenStreetMap’s servers, which receive your IP address.
We do not use advertising cookies or analytics tracking at this time. If we add them, we will update this policy first. You can clear or block cookies in your browser settings; the site still works, but it will not remember your location.
4. How we use it
- To hold and manage your reservation.
- To prepare your order or your event, including allergies and dietary needs.
- To answer your questions.
- To send the emails you signed up for.
- To consider your job application.
- To keep our website secure and working.
We use your information only for the purpose you gave it for, unless you agree to another use or the law requires it.
5. Your consent
When you give us your information for one of the purposes above, you agree to our using it for that purpose.
For our emails we ask for your express consent, as Canada’s Anti-Spam Legislation (CASL) requires. Every email names Sidebar Grill as the sender, gives our contact details and has an unsubscribe link. You can withdraw your consent at any time by unsubscribing or by writing to us. Withdrawing consent may mean we cannot provide a service, such as holding a reservation.
6. Who we share it with
We do not sell or rent personal information. We share it only with the service providers who help us run the restaurant and the website, and only what each one needs:
- OpenTable, for reservations.
- Our online ordering and gift card partner, for orders and eGift cards.
- Mailchimp (Intuit), for our emails.
- Our website host, which stores the site and its server logs.
- OpenStreetMap, for the map images.
Each provider handles your information under its own privacy policy. We may also disclose information when the law requires it, for example in response to a court order.
7. Information stored outside Canada
Some of our providers, including Mailchimp, store information in the United States. While it is there, it is subject to the laws of the United States and may be accessed by courts and authorities there.
8. How long we keep it
We keep personal information only as long as we need it for the purpose you gave it for, or as long as the law requires, for example for tax records.
- Email sign-ups: until you unsubscribe.
- Messages and event enquiries: while we need them to serve you and for our business records.
- Job applications: at least one year after we decide on the application, as BC law requires, and then deleted.
When we no longer need information, we delete it or make it anonymous.
9. How we protect it
We use reasonable safeguards: only staff who need your information can see it, our accounts are password protected, and our website uses a secure (HTTPS) connection. No system is perfect. If a breach of your information creates a real risk of significant harm, we will tell you and the Privacy Commissioner as the law requires.
10. Your rights
You can ask us:
- What personal information we hold about you, how we have used it and who we have shared it with.
- To correct information that is wrong.
- To stop using your information or to delete it, where the law allows.
Write to our Privacy Officer at the contact below. We will reply within 30 days, and we may ask you to confirm who you are first.
11. Age
Our website is meant for adults. We do not knowingly collect information from children, and our emails are for people of legal drinking age in British Columbia (19 or older).
12. Contact our Privacy Officer
Our Privacy Officer answers questions and requests about this policy and your information.
